The Travel Coordinator will arrange business travel for employees (domestic and international), identifying the most cost-effective and efficient travel and visa arrangements and making necessary reservations for accommodation and transport.
Key Responsibilities:
Domestic flights
- Book flights, travel, and accommodation
- Liaise with car rental companies
- Keep traveler’s database (preferences, etc.) up to date
- Assist employees with document preparation (Employment Verification Letter, letter for expediting passport issuance, review of visa application form, etc.)
Visa processing for USA, EU
- Keeping up to date with changes if any in visa application procedures, liasing with Consulates and embassies.
- Supporting employees with visa application form filling & submission, ensuring accurate paperwork and timely submission. Scheduling visa interviews, following up and preparing employees attending interviews.
- Maintaining data for all applications, petitions filed, preparing a weekly dashboard to update BU Leads on status of visa applications. Coordinate with attorneys and onsite counterparts.
International flights
- Researches and compares available routes, airline prices and hotel accommodations to identify the best available option for each travel need
- Submit visa applications online and/or liaise with the designated travel agency
- Documentation of travel expenses incurred by the employees and settling accounts with the finance department
- Prepares travel itineraries and distributes travel arrangements and schedules to all travelers
- Advise travelers of and assists with any need for specialized travel documents such as visas and COVID 19 rules and restrictions
- Keep traveler database (passport info, traveler preferences, etc.) up to date
- Ad Hoc or other related duties as assigned
Required skills & experience:
- Candidate should be graduate or have done IATA/ UFTAA course from a recognized university.
- Candidate should have 2-4 years of experience as a Travel coordinator in a corporate office.
- Candidate should have working knowledge of visa processing for USA and EU, business visa & work permit.
- Hands on Microsoft office applications e.g. Excel, Word, PowerPoint, Outlook etc.
- Excellent communication skills, written & verbal, teamwork skills. Ability to multi task, work under pressure. Experience of working with executive leadership.
